Our team prides itself on delivering professional and client-focused surveying services across Cornwall and beyond. We are looking for someone who is a highly motivated team player, focused on attention to detail, with strong communication skills and excellent organisational and time management skills. You will be working in a tight-knit office consisting of Chartered Building Surveyors, Surveyors and Architectural Technicians.
Role Overview
The Office / Practice Manager will be responsible for overseeing the day-to-day operations of the office, coordinating administrative tasks, managing client communications, supporting the surveying team and reporting to the Directors. This role is ideal for someone who thrives in a busy professional environment and has excellent organisational skills. It is expected that this will be a full-time role, but there may be scope for some flexibility for the right
Key Responsibilities
• Oversee general office operations, including management of the administration team and administrative tasks.
• Act as the first point of contact for clients via phone, email, and in-person inquiries.
• Manage diaries and appointments for surveyors, including site visits and client meetings.
• Coordinate project documentation, reports, and correspondence to ensure timely delivery.
• Assist the Directors to ensure the firm’s compliance with GDPR, RICS professional standards and H&S requirements.
• Use of our Union Square database to maintain accurate client records, record documents, correspondence, meetings and telephone messages etc.
• Manage subscription renewals, software updates etc., in co-ordination with IT provider.
• Organise and facilitate team meetings, training sessions, and internal communications.
• Assist with recruitment, onboarding, and HR-related administrative tasks.
• Implement and improve office systems, processes, and procedures to increase efficiency.
• Help to manage online and social media platforms.
• Support the Directors in operational tasks.
• Other general duties as required.
Skills & Experience
• Confident, enthusiastic and approachable manner.
• Proven experience as an Office Manager or in a similar administrative role, preferably in a professional services environment.
• Strong organisational and multitasking abilities.
• Excellent written and verbal communication skills.
• High proficiency in Microsoft Office Suite, particularly Word, Excel & Outlook.
• Professional, proactive, and able to work independently as well as part of a team.
Qualifications
• GCSEs or equivalent; A-levels or higher education in business administration, management, or related field preferred.
• Previous experience in a building surveying or construction consultancy is desirable but not essential.
